Job Description

Administrative Specialist I:   This is administrative office support work providing excellence in customer service, service request coordination, clerical and data processing, all of which may require varying degrees of independent judgment.

Duties:

Customer Service

  • Provide internal and external customer service.
  • Act as the first point of contact for customers for Sarasota County Mosquito Management Services.
  • Respond to inquiries and provide assistance to customers, contact center personnel, management and field staff.  Responsible for coordinating service requests from customer to field and/or management staff.
  • Answer phones and provide pertinent information to customer inquiries about the Mosquito Management Services (MMS) program practices and procedures, mosquitoes, daytime larve control, pesticides and nighttime mosquito control.
  • Coordinate with the Operations Supervisor and Outreach Specialist when resolving citizen inquiries.
  • Resolve routine problems, questions and concerns and refers more complex issues to higher level.
  • Act as the primary contact for chemically sensitive customer concerns.
  • Maintains Mosquito Management Services notification listing of persons (pesticide sensitive individuals) requesting personal contact for mosquito spraying missions in their area and initiate calls from this list as needed.
  • Communicate customer issues to appropriate Mosquito Management Services personnel.

Administrative Support

  • Provide support for various public notification software programs.
  • Serve on the Mosquito Database Committee.
  • Utilize County P-Card for Mosquito Management Services purchases and travel registrations.
  • Maintain office equipment and office supply inventory.
  • Perform administrative duties associated with Integrated Pest Management Working Group (IPMWG) meetings (e.g. operate DCR recording equipment, transcribe minutes, communications to members).
  • Typing and data entry, compiling and logging information.
  • Preparation/mailing of customer surveys; collecting data and monthly reporting of results of returned surveys.
  • Copying, filing and mail distribution.  Inventory/package receiving.  Prepare routine correspondence. Proofing and editing.  Screen visitors, emails and calls.  Short term projects and report preparation.

Minimum Qualifications:  A High School Diploma or equivalent education; 0 - 2 years business related experience or exposure.  Possess an aptitude and willingness to learn. 

Preferred Qualifications:  An Associate's Degree
