Job Description
JOB SUMMARY The purpose of this position is to assist in various and official duties of the Clerk’s office. Work is performed under the general direction of the Executive Clerk and/or the Executive Director. This position may be required to attend IDA and CDD Board workshops and meetings in the absence of the Executive Clerk. MINIMUM QUALIFICATIONS • High school graduate or equivalent GED. A.A./A.S. preferred. • Minimum of four (4) years progressively responsible related administrative work. Equivalent combinations of education and experience may be considered. • This position requires a Notary Public State of Florida commission. • Must be punctual; regular attendance is required. • Must maintain a valid Florida driver’s license. • Successful completion of background check and drug screening. KNOWLEDGE/SKILLS/ABILITIES • Knowledge of general administrative practices and procedures. • Knowledge of proper business communications. • Knowledge of modern office equipment, practices, and procedures. • Skilled in computer operations and pertinent software applications, including Microsoft Word, Excel, Access, Outlook and Power Point. • Must possess good organizational skills. • Must possess good interpersonal and communication skills. • Must be able to work as part of a team and foster a positive work environment. • Ability to work in a fast-paced environment with the ability to juggle multiple tasks and demands. • Ability to input and retrieve data via computer. • Ability to communicate effectively, both verbal and written. • Ability to exercise good judgment and to make independent decisions in accordance with established department policies and procedures. ESSENTIAL FUNCTIONS 1. Assist with official functions of the Clerk’s office. 2. Assist in the preparation and distribution of agendas, resolutions, contracts, and other documents and records. 3. Transcribe and distribute minutes relating to IDA and CDD business. 4. Assist in record keeping maintenance and retention of Agreements, Resolutions, Minutes of Meetings, etc. as provided by state statute. 5. Assist in ensuring minutes and agendas are uploaded to the website in a timely fashion 6. May be required to attend IDA and CDD Board workshops and meetings in the absence of the Executive Clerk. 7. Provide assistance with election forms for all Board members for Qualifying Week for Board Candidates in election years. 8. Assist in managing the official records of the IDA and Districts and provide copies per public request. 9. Assist in the preparation of legal ads on behalf of the IDA and Districts for publication. 10. Assist with the electronic document management system including the scanning and indexing of agenda packets, contracts, agreements and resolutions into the system. 11. Assist with all website management, including content and revisions. 12. Assist with uploading and maintaining all documents, including official records and all legal instruments on the document library. 13. May be required to maintain specialized manuals or automated files and records; may oversee specialized document collections. 14. Provides a high level of administrative assistance to the Executive Clerk, or other management personnel. 15. Performs special projects for the Executive Clerk, or other management personnel, as required. 16. Responsible for professional and courteous working relationships with all IDA employees, District Supervisors, and HOA Directors. 17. Responsible for prompt, accurate, and courteous service to all customers and other outside agencies or vendors. 18. Perform all other duties as assigned.
