Administrative/HR Assistant

Lighthouse Vision Loss Education Center in Sarasota, Florida is seeking a full-time Administrative/HR Assistant.

Founded in 1985, the Lighthouse Vision Loss Education Center is dedicated to providing quality vision rehabilitation services for the blind and visually impaired community in a five-county region. The Administrative/HR Assistant will work with certified staff members that possess a team mentality and are always open to change.

The Administrative/HR Assistant is primarily responsible for providing administrative and HR support to the Operations/HR Director, including support to other staff to include accepting and routing incoming phone calls, and providing administrative and clerical support to the organization but not limited to:

  •  Greet visitors at the front desk, ascertain the nature of business, and refer to the appropriate staff member.
  •   Answer and route incoming telephone calls to ensure that phones and front desk are covered during standard business hours.

  •   Assist Operations/HR Director with all HR processes and procedures relating to recruitment, new hires, onboarding/orientations and terminations.

  •   Assist with all aspects of Peepers Store functions as needed.

  •   Maintains accurate employment records and files in a consistent manner.

  •   Provide support to other staff, assisting in daily office needs and managing general

    administrative activities.

  •   Open and process incoming mail to the office.

  •   Assist visitors and callers by providing basic information about Lighthouse services

    including classes when needed.

  •   Maintain various spreadsheets and collect information needed from staff members such

    as auto insurance, updated certifications, name change, etc.

  •   Create reports and documents as requested.

  •   Receive approved PTO forms, post attendance and PTO on the office Google calendar

    for easy reference, and file paperwork.

  •   Email staff to inform them of birthday celebrations, holiday closures and other general

    company-wide information.

  •   Collect approved payroll paperwork for Operations/HR Director each pay period and

    assist as needed.

  •   Keep the office environment in visitor condition and handle facilities issues as they arise.

  •   Maintain personnel files including assisting with the preparation of the annual review


  •   Assist in planning, developing, organizing, implementing and evaluating HR functions and activities of the organization.

  •   Ensure security and proper tracking of office and fleet vehicle keys along with maintaining fleet vehicle maintenance log.

  •   Maintain office supply inventory and order supplies as needed.

  •   Perform administrative/clerical services and other duties as assigned for the

    Operations/HR Director as requested and other staff as time permits including emailing,

    copying, faxing, distributing faxes and mail and making phone calls.

  •   Maintain reception and adjacent areas/office in a professional manner.

  •   Schedule interviews and meetings as requested.

  •   Coordinate and manage assigned projects.

  •   Attend meetings and trainings as needed.
