Job Summary: The Specialist, Center for Teaching & Learning Excellence (CTLE) and Online Learning provides administrative support for key functions of the CTLE and Online Learning Department. In addition, under the direct supervision of the Director, CTLE and Online Learning, the Specialist, CTLE and Online Learning coordinates training schedules, registrations and provides administrative support for the Center of Teaching and Learning Excellence and Online Learning. Secondary duties involve the maintenance of a faculty professional development calendar, and updates Online Learning and other web-based materials. The Specialist, CTLE and Online Learning will also process and complete software and other Online Learning and CTLE contract renewals, purchases, and other related purchasing system needs, including travel arrangements and P-Card (Purchase Card) certification. Job Description Applicants may be asked to demonstrate any or all of the following duties: 1. Coordinates departmental training calendar, schedules training programs/activities, schedules appointments, meetings, and screens calls and responds to incoming inquiries as appropriate. 2. Answers, evaluates, and prioritizes incoming telephone, voice mail, email, and in-person requests for assistance for online students and faculty. 3. Arranges and coordinates travel schedules, reservations, and reimbursement documentation. 4. Develops and maintains functional area website for online learning and CTLE. 5. Maintains administrative inventory, orders, and maintains supplies, and processes payments according to the College requisition system. 6. Processes payment documentation for online learning contracts with vendors; maintains contract documentation files and terms. 7. Assists with preparation of department budget and maintains budget expenditures and balances. 8. Organizes and maintains electronic and hard copy files (some of which may be confidential) and files correspondence and other records. 9. Adapts to new software as department needs arise. 10. Coordinates and arranges meetings, prepares agendas, reserves, and prepares facilities, and records. 11. Performs other related tasks to meet department and job-specific requirements. Tracks completion of faculty professional development and communicates with the College staff regarding training needs and opportunities, as needed. 12. Provides administrative support for the Center of Teaching and Learning Excellence. 13. Performs other duties as assigned by supervisor. Minimum Qualifications • Education/Experience: Associates Degree and two (2) or more years of years’ related experience and/or training. Preference to experience with online learning as a student, support technician, or faculty member. Preferred Qualifications • Certificates and Licenses: Preference given to experience with Canvas Learning Management System and Quality Matters.
