COMMUNICATIONS COORDINATOR
JOB DESCRIPTION
FLSA STATUS: Exempt
RANGE: $40,000-$45,000 Depending on Experience
ADDITIONAL BENEFITS: HRA, 3% IRA Match, Parental Leave, Flexible Work Schedule
OBJECTIVE: The Communications Coordinator is responsible for supporting the organization’s fundraising, marketing, and administrative efforts. This will include executing marketing campaigns across various mediums including, social media, e-blast, video, digital, and print, as well as coordinating fundraising initiatives and assisting with daily administrative tasks to ensure efficient operations. Additionally, this role requires a collaborative individual with excellent communication skills, proficiency in digital and print media, and the ability to manage multiple projects effectively to enhance the organization's impact and community presence.
REPORTS TO: DEVELOPMENT AND MARKETING DIRECTOR
AREAS OF RESPOSIBILITY:
COMMUNICATIONS:
- Work with the Marketing Committee to develop and execute an annual marketing plan with communication strategies, timelines, and actional items
- Work with the Marketing Committee to formalize brand identity, create a style guide, and enforce continuity among internal and external stakeholders.
- Design and oversee the agency’s activity across social media accounts with well-written, on-brand content
- Coordinate the creation of marketing materials and items needed for promotional booths (i.e., brochures, flyers mailers, videos), including creating a checklist of items, keeping a schedule of when items and materials are needed, and ensuring they are ready
- Periodically update and proof content for website and print materials
- Represent the organization at networking events and community gatherings in order to build awareness and resources for the organization
- Coordinate and execute email marketing campaigns
- Coordinate and attend Fund Development and Marketing Committee meetings, including providing the agenda and minutes, and sharing updated tracking sheets with committee members
- Work with the Development and Marketing Director on press releases, pitches, and press coordination
- Track public awareness opportunities, actions, and follow-up in accordance with the Marketing Plan
EVENTS:
- Collaborate with staff and volunteers to organize fundraising events, community outreach programs, and donor appreciation events.
- Coordinate event logistics, including vendor management, venue arrangements, and promotional activities.
- Serve as a point of contact during events to ensure smooth execution.
- Update sponsorship packages and track receipt of payment/items as well as any benefits or deliverables as promised in the agreement
ADMINISTRATIVE:
- Manage phones and front entry to address callers' and visitors’ needs
- Periodically prepare Board of Directors meeting folders and maintain meeting and member records
- Provide clerical support including printing, copying, scanning, etc.
PROGRAMS:
- Periodically provide data input into client database and prepare reports as assigned
- Enter new client files and enrollment documents in database
- Maintain library of parenting education materials and digital resource library
FUNDRAISING:
- Assist in the planning, coordination, and execution of fundraising campaigns and events.
- Manage donor databases, ensuring accurate and up-to-date records.
- Support grant research, writing, and reporting processes.
- Draft donor communications, including thank-you letters, email campaigns, and newsletters.
- Track fundraising goals and provide regular progress reports.
- Perform other duties as assigned
KNOWLEDGE, SKILLS, AND QUALIFICATIONS:
- Excellent verbal, written, and interpersonal communication skills
- Detail-oriented with strong time management skills and a solid work ethic
- Bachelor’s degree in Communications, Journalism, or related major preferred (or equivalent experience)
- Familiarity with social media platforms and website management (e.g., WordPress).
- Ability to work both independently and collaboratively in a team environment.
- High proficiency with Microsoft Office programs including Word and Excel.
- Experience with CRM databases and email marketing software preferred (i.e., Donor Perfect and Constant Contact)
- Proficiency in graphic design software (e.g. Canva, Adobe Suite)
- Eagerness to work in a team environment
- Experience working with diverse populations
- Excellent time management skills; ability to work towards goals and within deadlines
- Clear FBI background check, valid driver’s license, and proof of motor vehicle insurance
- Bilingual (Spanish) is a plus
PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit, talk and/or hear. The employee is frequently required to use finger and hand motions and occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move objects up to 20 lbs. Specific vision abilities required by this job include close vision and ability to adjust focus.
WORK ENVIRONMENT: This position is required to be performed in-person at our office and designated event locations. It is not a remote or home-based position. Regular, on-site presence is essential to effectively collaborate with team members, engage with community partners, and fulfill the responsibilities of the role.
TRAVEL: Local travel to agency meetings/trainings. Trainings, conferences, and other meetings may be outside the local area and overnight.
HOURS: Workdays are typically Monday through Friday, 8:00 am to 5:00 pm. Employee may be called upon outside these hours to attend other functions of the position or agency as needed.
