Schedules appointments, gives information to callers, and otherwise relieves officials of clerical work and routine administrative details by performing the following duties. Applicants may be asked to demonstrate any or all of the following duties: • Provides leadership and supervision for assigned instructional programs in Lifelong Learning and Workforce Development, including reserves and prepares facilities, prepares required materials, creates classes, screens students, tracks students, and prepares contracts and invoices. • Assists with the recruitment, selection, hiring, orientation, retention and promotes a diverse faculty and staff. Coordinates, hires, trains, schedules and supervises staff for specific Lifelong Learning and Workforce Development training and instructional programs. • Reads and routes correspondence. Composes and processes routine correspondence and e-mail. Organizes file system (including confidential material), and files correspondence and other records. Provides other clerical support as required. • Answers and screens telephone calls, arranges conference calls, coordinates schedules, makes appointments, and makes travel arrangements. • Greets scheduled visitors and directs or escorts to appropriate area or person. • Conducts research and compiles and prepares various analytical and descriptive reports. • Coordinates and arranges meetings, reserves and prepares facilities, and prepares agendas and required materials. • Takes minutes of meetings, as required. Prepares minutes for distribution. • Orders and maintains supplies and arranges for equipment maintenance. Prepares purchase orders, receives merchandise. • Provides input to budget planning and monitors budget for delegated areas. • Designs, creates and executes analytic programs and/or surveys to assist division in data collection for program review activities, providing data necessary to evaluate program effectiveness, value and student success. • Collaborates with College personnel and external stakeholders to design and conduct needs assessment activities to ensure the continuum of addressing community lifelong learning needs. • Provides administrative support to Director and Assistant Director, Lifelong Learning for developing and organizing lifelong learning educational programs. • Coordinates, schedules, and provides administrative support for lifelong learning course offerings. • Contributes to all marketing and recruitment activities as it relates to Lifelong Learning opportunities within the College. • Performs other related tasks to meet department and job-specific requirements. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Education/Experience: Bachelor's degree and two (2) or more years' related experience and/or training or equivalent combination of education/experience.. • Supervisory Experience: No supervisory experience required. • Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. • Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply concepts of basic algebra and geometry. • Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. • Computer Skills: To perform this job successfully, an individual should have advanced knowledge of word processing software; intermediate knowledge of spreadsheet, Internet, email, and database software. Proficiency in use of current College email and database software essential. • Certificates and Licenses None required. Responsibility for People and Property: This job has no supervisory responsibilities. Responsibility for Communication: • Internal Contacts: This position has routine contact with all levels of college faculty, staff, students, and administrators. • External Contacts: This position has routine contact with external contacts such as accrediting agencies, government or other academic institutions, student and or employment applicants, vendors, and the general public, depending on the employing unit.
