Organizes and coordinates activities for the SCF Advanced Technology Center and provides guidance to the staff, instructors and students. Provides information to stakeholders interested in the Advanced Technology Center. Formulates processes and procedures for Advanced Technology Center operations, coordinates purchasing and bookkeeping, and other related clerical and administrative duties for the programs within the Advanced Technology Center. Applicants may be asked to demonstrate any or all the following duties: • Ensures that all federal, state, and local laws, and College policies, procedures and departmental standards are followed. Works with the Director, Advanced Technology Center and non-credit instructors in their implementation of daily tasks and duties, as well as special projects. • Works closely with Director to develop procedures and best practices. Provides input in management decisions, supports the mission and vision of Advanced Technology Center, and works to maintain a positive office environment. • Assists in maintaining a high level of internal collaboration with administration and non- credit instructors. Assists in the collecting and compilation of information used for internal and external quality assurance. • Assigns various programmatic areas of responsibility per Director, Advanced Technology Center's instructions to the administrative and career staff as well as provides supervision and oversight. Supervisory responsibilities include, but are not limited to, coordinating work schedules, monitoring assigned work, approving leave requests and time sheets, and evaluating staff. Assigns and coordinates the work of the student assistants, temporary staff, college interns and volunteers. • Provides clerical support to Director, Advanced Technology Center including correspondence and coordination of master calendar, schedules appointments and classes, promotes building events and responds to inquiries as appropriate. • Serves as lead on coordinating the work of the student employees, college interns and Advanced Technology Center volunteers. • Directs preparation of records such as agenda, notices, and minutes for meetings, reports and other assignments as delegated by Director, Advanced Technology Center. Can perform the duties of the staff that report to this position, provide additional training when needed and provides orientation and training for new staff. Coordinates with the Director to maintain cross-training and ability for seamless backup if required. • Special projects: Assists with third party vendors and the selection process, as well as serving as the department point of contact. Works to report and remedy any issues with third party vendors. • Maintains department-specific database, inputs data and other related information and utilizes data to prepare reports. Maintains data for reporting including monitoring from the county and the state. Creates and maintains spreadsheets as needed. Maintains administrative inventory; orders and maintains supplies and arranges for equipment maintenance. • Prepares requisitions, purchase orders, encumbrances, working in Banner and budget spreadsheets, as well as maintaining accurate records and documentation, and other related work as needed. Oversees Purchasing card transactions and reconciliation activities. • Coordinates travel arrangements for director and staff conferences and student field trips, prepares travel forms and arranges for payments and reimbursement of funds, including student travel coordination for field trips, club activities with instructors and coordinates transportation. • Coordinates activities and provides reports for various governmental or community agencies as assigned by Director, Advanced Technology Center. • Receives, screens and direct calls in a timely and efficient manner. Types, proofreads, processes letters, and creates reports. Takes notes, minutes at meetings, memorandum, forms, schedules, and related paperwork. Prepares PowerPoint presentations on subject matter for Director. • Assists with hiring policies of State College of Florida, Sarasota-Manatee within the Office of the Registrar, which includes, printing of applications, resumes, and cover letters of applicants. Submits to hiring manager in department. Schedules applicant interviews. Oversees that the HR process is followed correctly, which includes applicant references and follow-up that the proper paperwork is submitted to Human Resources. • Works with the Help Desk for technical difficulties with printers, faxes, phones, etc., that affect the Advanced Technology Center. • Oversees the office set-up for new department employees, including submitting requests for computers, telephones, long distance access codes, email, and Banner access. • Updates departmental documents (organizational chart, job descriptions). • Collaborates closely with Administrative Assistants both internally and externally for good coordination of calendars and meeting planning. • Provides assistance to the department staff with coordination of time-sensitive projects. • Performs other duties as assigned.
